Read Your Email Out Loud. Then Rewrite It.

You wrote an email that sounds fine on screen. Read it out loud and you will hear it: nobody talks like that.

“Per my previous message.” “Please be advised.” “We are pleased to leverage synergies.” Say any of those across a table and watch the face you get.

Written words that do not sound human create the same problem as the Mismatch Rule. The reader feels the gap between the person they know and the voice on the page. Trust drops a notch, and you never see it happen.

Here is a test that takes four minutes.

Take the last important email you wrote. Read it out loud, at normal speed. Mark every spot where you stumble, where you would never say it that way, or where you took a breath that the sentence did not.

Now rewrite it the way you would say it to that person in the room. Shorter sentences. Plain words. One idea at a time. Put your actual ask in the first two lines.

Compare the two. Most leaders find the second one is shorter, clearer and warmer. It is also easier to answer.

This is not about being casual. It is about sounding like the person your team already trusts.

Try it on one email this week. Notice what you cut.

Write the way you talk, and people will believe the person behind the words.

Just read. Try. Fail and get better.
